The requirement.
Our client was an Indian startup company tackling one of the biggest challenges faced by educational institutions in developing countries back in 2014 : communication between stakeholders. The company was listed as one of the 10 Hottest Edtech companies in India and was eventually acquired by a multinational company in 2017.
Communication between schools and parents was broken, and it posed serious questions regarding student security as well. At the time ERP and MIS systems were not built particularly for schools and were clunky and needlessly overcomplicated for parents to use. Parents had been led to realise that they knew very little about what was happening in their child's school.
Notes and other paper based communication sent home either ended up being transformed into origami shapes or tossed out with leftover lunch. There were multiple scattered methods of communication such as sending calendar events via email, messages were sent using bulk SMS and photos were literally still sent in physical form. And yet, all that parents wanted was to simply know what their child was upto and if safe he or she was.

How we did it.

To begin with, we dove deep and understood school operations and communication points from cradle to grave. The larger challenge was to extract this information from schools that were present in different countries, from Sri Lanka to Mexico. We were able to extract and elucidate over 72 pain points that schools faced in their communication, through a visual mind map. We consolidated this into an information architecture and designed a 7-module “one app fits all” application:

Academic & Activities Calendar: Allowed parents to view and be reminded of class schedule and any extra-curricular events or holidays on the school calendar

Instant Push Notifications: Allowed schools to push notices or urgent private messages to parents, for example, parent-teacher meeting reminders, school bus delays, library over-dues etc.

Photo Gallery: Allowed schools to share photos from events. Parents could share these photos with family and friends straight from their personal mobile devices

News: Important newsletters and news items could be distributed to the wider community

Videos: The school could share videos of events such as drama classes and sports day via private YouTube videos that streamed in-app

Links: Schools could instantly share any web-based content through hyperlinks that opened in-app

Fee Payments: Added a payment gateway to collect various types of fees which were transferred to school’s bank accounts automatically

The impact it had.

The app significantly improved all schools’ communication with parents.

At the Kipling school in Morelia (Mexico), parents engaged on average 14 minutes a day on the app while teachers spent 7 hours less every week updating parents about their child’s progress via the app compared to the previous traditional mediums. The mobile application also eliminated the need for repeated authentication and offered a faster loading time.

The technology’s ease of access was very well taken by both parents and the wider community – people were able to obtain school-related information anytime and anywhere. One day, at the American School of Bombay, over 3,000 parents were informed in under 20 seconds about a last minute flood alert and that kept all children safe.

School management did improve through technology. We found that by sampling at random 50 schools that were using our app, they reduced the number of days in which parents paid their child’s fees from 22 days to 9 days because payments were directly available in-app and reminded via notifications.
